All New Zealand vital records certificates are issued by Births, Deaths and Marriages (BDM), part of the Department of Internal Affairs (DIA). Each certificate type has different requirements, fees and privacy rules.

Certificate vs. Printout β€” which do I need?

A certificate is the official legal document with a BDM stamp β€” required for legal, immigration or official administrative purposes. A printout is a copy of the register entry, usually with more information, ideal for family research and can be emailed to you. Certificates must be posted or collected in person.

How to apply for a certificate

Confirm the event is registered in New Zealand
Certificates can only be issued for events registered with the NZ BDM registry. Records go back to 1848, though older records may be incomplete. To check whether a historical record exists, search the free BDM Historical Records website. For recent records (non-historical), you need to apply directly through the official portal.
⚠ Privacy rules apply to births within the last 100 years and deaths within the last 50 years. Not everyone can order these records online.

Set up a RealMe account (for online applications)
To apply through the BDM Online portal, you need a RealMe verified identity β€” New Zealand's secure digital identity service. If you're outside New Zealand or can't verify online, download and complete a PDF application form instead. Your RealMe identity needs to be re-verified every two years. Organisations can apply via a separate business account by emailing [email protected].

Go to the official NZ certificate portal
Navigate to certificates.services.govt.nz β€” the official New Zealand Government portal for ordering vital records certificates. Select whether you need a non-historical record (recent event) or a historical record (older research). You can also apply by phone by calling 0800 22 52 52 (NZ) or +64 4 463 9362 (from overseas).

Provide the required details about the event
BDM requires three pieces of information to locate the correct record: (1) the full name(s) of the person β€” both parties for a marriage or civil union; (2) the date of the event (day, month, year); and (3) the place of the event (town or city in New Zealand). All three are mandatory. If you don't know the exact year, you can pay an additional search assistance fee.

BDM Online accepts Visa, Mastercard, American Express and Prezzy Cards. Select standard post (free within NZ) or courier (+$5.30 within NZ). For international orders, choose the country at checkout β€” prices vary by destination ($53 for most of the world, $58 for certain countries). Decorative certificates come flat-packed; standard certificates are folded.

Receive your certificate
Most NZ applications are processed within 1–2 weeks. International orders take 2–4 weeks. If you haven't received your certificate after 3 weeks (NZ) or 4 weeks (international), contact BDM with your reference number and an alternative delivery address. If there's an error on your certificate, call BDM to discuss a correction β€” some changes require additional documentation.
🌐 Apostille: If the certificate is for use in a country that is a party to the Hague Convention (most countries), request an apostille from the DIA at the same time as ordering. It authenticates the document for international legal use.

Privacy rules for death certificates

Death certificates for people who died less than 50 years ago have access restrictions. You must prove you are a close relative, an executor/trustee, or have a legitimate legal need. These applications cannot be completed online β€” download the PDF form from govt.nz.

Historical records (pre-1900s)

Births 100+ years ago, deaths 50+ years ago, and marriages 80+ years ago are public records. Search and order online at bdmhistoricalrecords.dia.govt.nz. Historical printouts can be emailed directly to you as a PDF.

Can I order a certificate if I live outside New Zealand?
Yes. Anyone worldwide can order a New Zealand birth certificate. Marriage and civil union certificates can also be ordered internationally. Death certificate access depends on privacy rules (not your location). Use the online portal with a RealMe account, or submit a PDF form if you can't verify online. International delivery typically takes 2–4 weeks.
What is the minimum information needed to place an order?
You must provide: (1) the full name(s) of the person β€” both parties for a marriage or civil union, (2) the date of the event, and (3) the place of the event (town or city in NZ). What is the difference between a certificate and a printout?
A certificate is the official legal document with a BDM authority stamp β€” needed for legal, administrative or official purposes (visa, passport, court). A printout is a typed copy of the register entry β€” it usually contains more data than the certificate and is best for family research. Printouts can be emailed; certificates must be physically posted or collected in person at a BDM office.
How do I get an apostille on a New Zealand certificate?
An apostille authenticates your certificate for use in countries party to the Hague Apostille Convention (this covers most countries worldwide). In New Zealand, apostilles are issued by the Department of Internal Affairs. You can request one at the same time as your certificate order, or apply separately after you've received the certificate. Contact DIA for current apostille fees and turnaround times.
I haven't received my certificate β€” what should I do?
If ordered within New Zealand, wait 3 weeks from the order date. For international orders, wait 4 weeks. After that, contact BDM with your order reference number, a statement that it hasn't arrived, and an alternative address for re-sending if needed. Contact BDM at 0800 22 52 52 (NZ) or +64 4 463 9362 (overseas).
There is an error on my certificate. Can I get it corrected?
Yes. Contact BDM by phone to discuss the error. Whether it can be corrected depends on whether it was a clerical mistake or requires an amendment to the register. Some changes require supporting documentation or a court order. Do not simply re-order β€” the same error will appear on a new copy.
Can I get a bilingual Māori / English birth certificate?
Yes. Birth certificates in New Zealand are available in a bilingual format in English and Te Reo Māori at no additional cost. Select the bilingual option when ordering via the official portal. The bilingual certificate has identical legal validity to the English-only version and is accepted for all official purposes including immigration and passports.
Who can order a death certificate?
Death certificates for people who died less than 50 years ago are restricted. You must be an immediate family member (spouse, child, parent, sibling), a legal representative, or an executor/administrator of the estate. In these cases you cannot apply online β€” you must use the PDF application form and include proof of your identity and your relationship to the deceased. For deaths more than 50 years ago, the certificate is a public record and anyone can apply.
